HQ Learning is committed to keeping all children safe. Regular safeguarding training is completed, and the tutor holds an enhanced DBS check. The tutor cannot be held responsible for chaperoning minors, nor guarding a house while tutoring in a student’s home. Please ensure that private tuition can be conducted within sight or earshot of a parent or guardian aged over 18.
It is the tutor’s responsibility to report any safeguarding concerns to the Local Authority. If a child makes a disclosure, their allegations will be taken seriously and reported appropriately. The tutor will not make any attempts to investigate any concerns and tutoring courses will be terminated if the environment is deemed to be unsafe for the child or the tutor. Should there be concerns for the child’s immediate safety, the police may be contacted.
HQ Learning takes any allegations against tutors seriously. Should parents have any safeguarding concerns that cannot be raised with the tutor, the Local Authority should be contacted.

HQ Learning only collects necessary information about students and parents for the purpose of tuition. This information is usually collected on paper forms. Hard copies are stored securely, and electronic copies are kept in secure cloud storage. Information about students and parents will never be shared without permission. Upon request, any contact information can be deleted upon termination of the tutoring contract. Contracts, consent forms and payment information must be held for seven years. Parents can request access to information stored about their child at any time.

HQ Learning aims to provide the highest quality tutoring service. The tutor holds relevant teaching qualifications including Qualified Teacher Status. Any advice or recommendations given, are for parents to use at their own discretion. Should any concerns arise regarding the quality of tuition during the course, please address these directly so they may be rectified.

The location of tuition sessions is chosen when booking. Face-to-face lessons take place in the student’s home in a quiet atmosphere conducive to concentration on the tuition involved. An appropriate workspace should be provided by parents; however, all learning materials will be provided by the tutor unless otherwise specified. Online lessons take place using Google Meet. A parent or guardian should be within sight or sound of the child during online tutoring sessions. Should any changes need to be made to the location during the course, appropriate notice should be given.

New students
A deposit for the value of one lesson will be paid in advance to reserve their weekly time slot. The remaining value of the course should then be paid before the second lesson.
Existing students
The total cost of each half-term will be paid before the first lesson of the tutoring course, unless another payment plan is arranged with the tutor.
The tutor will not attend sessions without payment unless agreed with the parent in writing (via email or text).

Where possible, a notice period of 24 hours should be given if the student or the tutor are unable to attend a scheduled session. Upon cancellation of the session, an alternative lesson time may be provided. If a suitable alternative date is not available, lessons will be refunded or rolled over to the next half term.

Before the end of each half term, parents will be contacted about booking for the next half term. Please inform the tutor as soon as possible if you do not wish to continue tuition, so that the space can be made available for other students. Should parents wish to cancel tuition within a half term, pre-paid lessons may not be refunded.

The tutor may take photos or videos during tuition sessions for marketing purposes. Identifying features of the child will not be included in any images or videos without written consent. Children’s names will never be used in conjunction with photographs.
